The challenge
- Student renewals are time-boxed: miss the window before spring break and leases slip into summer when students scatter.
- DocuSign’s per-envelope pricing made 100+ leases genuinely expensive, and their templating system didn’t understand per-bed rent.
- Parents (the actual co-signers) needed a frictionless experience — asking them to create yet another account was killing conversion.
What we did
- Built a per-bed lease template with roommate allocation, per-bed rent, and a parent co-signer block, all as TenantAssist variables.
- Used the public sign link so parents signed on their phone without a login — just click the link in the email, type their name, sign, done.
- Turned on lease audit events + SHA-256 hashing so every signed document is cryptographically tied to the version the signer saw.
- Connected signed leases to rent collection, so August rent was billing-ready the moment ink dried.

The results
- All 102 beds renewed in 9 calendar days (previous best: 6 weeks).
- Cancelled the DocuSign subscription, saving roughly $1,820/year in envelope fees plus two hours/week in template maintenance.
- Zero parent complaints about the signing flow — first year that has ever happened.
- Zero signature challenges because the audit trail (IP, timestamp, document hash) makes the evidentiary record airtight.
